Who we are

Tallyfern is a registered Ontario business name for a small business in London, Ontario, Canada. We make digital templates and free tools. Tallyfern is responsible for how we handle personal information, and you can reach us about privacy at hello@tallyfern.com.

Contact us about anything in this policy at hello@tallyfern.com. We don’t publish a street address; email is the fastest way to reach us.

This policy explains what personal information we collect, why, and what we do with it. We follow Canada’s federal privacy law, the Personal Information Protection and Electronic Documents Act (PIPEDA).

The short version

  • We collect as little as possible. You can use this website without giving us any personal information.
  • No analytics, no advertising trackers, and this website doesn’t set cookies.
  • Purchases happen on Etsy, under Etsy’s privacy policy.
  • We never sell your personal information.

This website

tallyfern.com is a static website hosted on Cloudflare Pages. When you visit, Cloudflare receives technical information that every website visit involves, such as your IP address, browser type, the page requested and the time. Cloudflare uses it to deliver the site and protect it from attacks and abuse, and may keep it in logs under its own privacy policy. We don’t use this information to identify you.

We don’t use Google Analytics or any other analytics, advertising or tracking tools, and our pages load no third-party scripts, fonts or trackers. This website doesn’t set cookies. In rare cases Cloudflare may set a strictly necessary security cookie, for example to tell people from automated traffic.

Links to other sites, such as Etsy, X and canada.ca, take you to services with their own privacy policies.

GST/HST threshold checker

The free GST/HST small supplier threshold checker runs entirely in your web browser. The numbers you type are not sent to us or anyone else, and they are not saved. They are gone when you close or reload the page.

Buying on Etsy

Our products are sold on Etsy, in the TallyfernDigital shop. When you buy, Etsy collects and processes your payment and account details under Etsy’s privacy policy. We never see your card or payment details.

Etsy shares with us the details we need to complete and support your order, such as your name, Etsy username, what you bought, and any messages you send us. Depending on the order and your Etsy settings, this can include your email or postal address. We use these details only to deliver your purchase, answer questions, handle problems with an order, and keep the business and tax records the law requires.

Emailing us

If you email hello@tallyfern.com, we receive your email address, your name if you include it, and your message. We use them only to reply and help you. Our email is forwarded by Cloudflare Email Routing to an inbox hosted by Google (Gmail).

Email list (coming soon)

We plan to offer an optional email list for news, tips and free resources. It isn’t open yet. If you sign up once it is, we’ll collect your email address and a record of your consent: when and where you signed up and that you confirmed. We’ll use it only to send the emails you asked for.

Signing up will always be your choice. We’ll ask you to confirm by email, and every message will include an unsubscribe link that works straight away. The list will run on Brevo, an email service provider that stores and sends the emails for us under its own privacy policy. Brevo says it stores data in the European Union. We’ll never sell or rent the list, and we won’t add Etsy buyers or anyone else who hasn’t signed up themselves.

Tallyfern Rates for AI assistants

We run Tallyfern Rates at mcp.tallyfern.com, a free set of read-only tools that AI assistants and apps can use to look up Canadian figures such as GST/HST rates and CRA allowance rates (an “MCP server”). It needs no account, and you don’t need to give it any personal information. It only needs things like a province, a number of kilometres or revenue amounts.

We don’t store or log the questions or numbers sent to these tools. The service is hosted on Cloudflare, which processes standard request information, such as IP addresses and request logs, to run and protect it, as described above for this website. The AI assistant or app you use has its own privacy policy for your conversations with it.

Social media

If you follow or message us on X, Pinterest or LinkedIn, those platforms handle your information under their own policies. We see only what the platform shows us, such as your public profile and any message you send.

Who we share information with

We share personal information only with the service providers that help us run the business: Etsy (sales), Cloudflare (website hosting and email forwarding), Google (email inbox) and, once the email list opens, Brevo. We also share it when the law requires it, for example with the Canada Revenue Agency for tax records. We never sell, rent or trade personal information.

Some of these providers store information outside Canada, for example in the United States or the European Union. That information is then subject to the laws of those countries, and authorities there may be able to access it.

How long we keep information

  • Emails: as long as we need them to help you and keep a record of our conversation, then deleted.
  • Order details from Etsy: the CRA generally requires business records to be kept for six years after the end of the tax year they relate to.
  • Email list: until you unsubscribe or ask us to delete it. We may keep a minimal record of your consent and unsubscribe, which the law requires us to be able to show.
  • Website logs: we don’t keep our own. Cloudflare keeps its logs under its own policy.

We keep it in password-protected business accounts that only Tallyfern can access.

Your rights: access, correction and withdrawing consent

Under PIPEDA you can ask what personal information we hold about you, ask how we’ve used it and who we’ve shared it with, and ask us to correct anything that’s wrong. You can also withdraw your consent at any time, for example by unsubscribing from the email list. To make a request, email hello@tallyfern.com. We may ask you to confirm your identity first. We’ll reply within 30 days and won’t charge you.

If you have a concern, please contact us first so we can try to fix it. You can also complain to the Office of the Privacy Commissioner of Canada.

Children

Our website and products are meant for adults managing work and business admin. They are not directed at children, and we don’t knowingly collect personal information from children under 13. If you think a child has sent us personal information, email us and we’ll delete it.

Changes to this policy

We’ll update this page when what we do changes, for example when the email list opens. The date below shows when it last changed. If a change is significant, we’ll make it clear on this page, and we’ll tell email subscribers.
