What it does
- Logbook: 600 rows for date, from, to, purpose, client, odometer start and end (or just the km) and parking. Business km are calculated for you, and a check column flags a missing date, destination, purpose or km, trips outside the tax year and odometer typos.
- Business-use %: enter your odometer on January 1 and December 31. The Summary shows total km, business km, personal km and your business-use %.
- Vehicle Costs (self-employed): 12 months of fuel, electricity (EVs), insurance, maintenance and repairs, licence and registration, loan interest and leasing, each multiplied by your business-use %. Business parking and supplementary business insurance count at 100%. You get a total for Form T2125 (line 9281), before CCA and limits, to give your accountant or enter in your tax software.
- Per-km allowance (employees and employers): the CRA’s 2026 rates of $0.73/km for the first 5,000 km and $0.67/km after, or $0.77 and $0.71 in Yukon, the Northwest Territories and Nunavut. Compare the result with what your employer paid.
- Simplified logbook: kept a full logbook for a base year? Log a 3-month sample and the sheet runs the CRA’s simplified-logbook calculation, including the within-10% check.
- Monthly summary and chart of trips, business km and costs.
- Print-ready: prints on Letter or A4, or saves as a PDF to keep with your records.

Frequently asked questions
I’m self-employed. Do I claim $0.73 per km?
No. Sole proprietors claim actual vehicle costs multiplied by their business-use %. The per-km rates are for allowances an employer pays an employee. The workbook does both, and the Start Here sheet explains the difference.
Does it work on a Mac or without Excel?
Yes. It works in Microsoft Excel 2016 or later for Mac, in Excel for the web (free with a Microsoft account) and in Google Sheets. The README explains each option.
Does it work in Google Sheets?
Yes. Upload the .xlsx to Google Drive and open it with Google Sheets. The formulas work there; the sheet protection from Excel may not carry over and the chart may look slightly different.
I have two vehicles. What do I do?
Use one copy of the blank file per vehicle. The CRA asks for a separate record for each vehicle.
What about next year?
The rates are for 2026. When the CRA publishes the 2027 per-km rates, we’ll update the workbook and buyers get the update free. If it doesn’t appear in your Etsy purchases, message us.
Does it calculate CCA or the passenger-vehicle limits?
No. Capital cost allowance (line 9936) and the CRA limits on interest and leasing for passenger vehicles aren’t calculated. The Vehicle Costs total is before CCA and limits, so your accountant or tax software makes the final calculation.
Does it use macros?
No. It uses ordinary formulas only, with no macros, add-ins or subscriptions.
